ACT Government YourSay Panel Privacy Notice
This Privacy Notice describes how the Chief Minister, Treasury and Economic Development Directorate (CMTEDD) collects and uses personal information through the YourSay Panel platform on behalf of the ACT Government.
CMTEDD takes your privacy seriously and will collect, secure, hold, use and disclose, access and manage your personal information in accordance with the Territory Privacy Principles (TPPs) in Schedule 1 of Information Privacy Act 2014 (the Information Privacy Act).
Delivery of YourSay Panel
The YourSay Panel platform is a research panel designed to strengthen the ACT Government's engagement with the ACT community. To assist in the delivery of YourSay Panel, CMTEDD has engaged Alida. Alida is a company incorporated in Australia.
Information about participants in the YourSay Panel will be stored on servers operated by Alida in Australia. ACT Government staff will remove any identifying markers from that information to create a 'de-identified' data set for use in research and analysis. Following the process of de-identification the information will no longer be personal information for the purposes of the Information Privacy Act. Designated CMTEDD staff will however continue to have access to personal information stored by Alida if it is required for the purposes of administering the YourSay Panel.
Storage and security of personal information in offshore clouds
CMTEDD will generally not disclose personal information to an overseas entity without your consent. All personal information stored on servers in Australia operated by Alida will remain under CMTEDD's effective control.
Alida employs a high standard of information privacy and security using encryption, firewalls, secure login processes.
CMTEDD will take reasonable steps to ensure that Alida complies with the TPPs and the Information Privacy Act and will take reasonable steps to prevent unauthorised access to, use of, or disclosure of, your personal information.
The purpose for which we collect personal information
CMTEDD collects your personal information as part of the YourSay Panel for the primary purpose of providing its online community engagement services, informing you about these services, complying with contractual and other legal obligations, responding to your enquiries and administering its community engagement platforms and technology.
What happens if we do not collect personal information
Members of YourSay Panel are required to identify themselves and log-in to participate. If CMTEDD does not collect your personal information, the ACT Government may not be able to provide you with access to the YourSay Panel.
What kind of personal information we collect
When you register to participate in YourSay Panel, we collect the following information from you:
- Name (optional)
- Email address (this will not be made public)
- Age range
- Suburb
- Gender
- Household demographics
Once registered and logged-in to the system, we collect information that you provide via surveys and quick polls. In your feedback through YourSay Panel, please do not provide additional personal information about yourself or any other person.
Use and disclosure of personal information
CMTEDD will not use personal information collected through YourSay panel for a purpose other than the purpose for which it was collected or disclose personal information collected through the YourSay Panel to another entity unless it is permitted to do so by the Information Privacy Act. Examples of circumstances in which the Information Privacy Actpermits use of personal information for another purpose or disclosure of personal information to another entity includes:
- with the consent of the person to whom the information relates to;
- in permitted general situations, as defined in the Information Privacy Act;
- where the disclosure is required or authorised by or under an Australian law or a court or tribunal order;
- where the use or disclosure is reasonably necessary for 1 or more enforcement–related activities conducted by, or on behalf of, an enforcement body (e.g. the police).
