Hire a meeting or function room at the Multicultural Centre

Meeting and function room hire for community groups and government agencies.

Check if you can hire a meeting or function room

You can hire a meeting or function room at the Theo Notaras Multicultural Centre if you are over 18 and you are one of the following:

  • a member of the Canberra community
  • a tenant of Theo Notaras Multicultural Centre
  • a not-for-profit community organisation
  • a government agency.

You cannot hire rooms for:

  • commercial activities for profit – for example, selling art at an exhibition or selling food at an event.
  • personal celebrations – for example, birthdays, graduations and weddings.

If you are planning a fundraiser, talk to us first about your event.

Hire times

You can hire a meeting or function room for one or more of the following sessions:

  • session 1 – 8:30 am to 12:30 pm
  • session 2 – 1:30 pm to 5:30 pm
  • session 3 – 6:00 pm to 10:00 pm.

You may also use our equipment, which includes:

  • lecterns
  • microphones
  • sound systems.

Discounts

  • There is no discount for all-day bookings.
  • A booking for part of a session costs the same as a full session.
  • Sometimes we can reduce or remove the hire fees for community organisations. Apply for a discount on the Venue Hire form.

Extra fees you might have to pay

Security

A $120 fee for a security guard for:

  • evening bookings
  • large function room bookings outside of normal business hours.

A security guard will be on site before, during and after use to keep people at the centre safe.

Cleaning

A $150 cleaning fee to clean the kitchen after you use it.

Hire conditions

If you are holding a public event, you must:

  • give us a copy of your public liability insurance of $20 million
  • promise to pay for personal property damage or for any injury caused by your neglect.
  • not give or transfer your hire to any other person, business, organisation or agency without getting written permission from us
  • not exceed the capacity of the room you have hired
  • not have alcohol at your event.

You cannot book more than 15 hours in any month if you are:

  • an ACT Government agency
  • a private business.

Before and after your hire

You must participate in an:

  • induction to use the centre and room
  • inspection after your event or meeting.

Book a meeting or function room

  1. Download, fill in and sign the Multicultural Centre booking form and hire agreement [PDF 3MB].
  2. Email your form to us at least 7 working days before your event.

If you have booked a room to use outside opening hours

You must contact us to arrange a time to:

  • collect the key and swipe card to open the Centre’s front doors and locked rooms
  • return the key and swipe card after your function.

If you need to cancel or change your booking

You must tell us as soon as possible.

You might have to pay us if we lose money or have extra expenses because you cancelled or changed your booking.

If we need to cancel your booking

We will refund your booking fee within 30 working days.

Paying for your booking

We will send you an invoice after we confirm your booking.

You will have 14 days to pay the hire fee.

During your hire

Your hire starts and finishes at the times you agreed to on your booking form. We may be able to extend your booking, but we may charge extra hire fees.

Responsibilities

You must:

  • obey emergency alarms and follow emergency instructions and diagrams in each room
  • accept responsibility for the behaviour of people at your event
  • not put anything on the walls, floors or other surfaces which might mark or damage them
  • supply your own non-alcoholic beverages, food, pots, pans, crockery, cutlery and other utensils
  • not use cooking appliances or candles in the function room and meeting rooms.

If you hire the commercial kitchen

  • Your use must be legal and must not disrupt or inconvenience other users of the centre.
  • You must ensure the food you sell is safe. Use ACT Health’s resources to help you provide safe food to the community.
  • Children under 18 years and pets (including companion animals and guide dogs) are not allowed in the commercial kitchen.

Damages

Damage or loss you cause

When you hire the function room, meeting rooms or commercial kitchen, you agree you are responsible for:

  • damage or lost property
  • costs to repair or replace equipment we provide with your hire.

We will inspect rooms after use and may charge extra if you have not followed the hire agreement.

Damage or loss from a break-in

You must inspect the room when you arrive and immediately report any damage to the Centre Management Team.

After-hours urgent repairs or issues

For after-hours urgent repairs or issues, call ACT Property Group on 6213 0700.

After your hire

Cleaning

  • Remove all rubbish and leave the room clean.
  • If you hire the kitchen, you must clean it. Instructions for cleaning the kitchen are in the kitchen.

If you leave things after your booking

  • You have 24 hours to collect any personal items left after your booking.
  • The Centre Management is not responsible for any personal property left in the function room, meeting rooms or commercial kitchen.
